At Procurement AI Agent, we respect your privacy and are committed to protecting the data processed through our application and website.

1. Information We Collect

We collect limited information required to provide, support, and improve our services:

Account & Contact Info: Email address provided during authentication or support requests.
Google Workspace User Data: Email messages, thread metadata, labels, and filter rules accessed via user-granted Gmail API permissions solely to execute procurement outreach, summarization, and email organization workflows.
Application Telemetry: Anonymized usage statistics and crash logs to improve software performance.

2. Google Workspace API Data & Limited Use Disclosure

Google Limited Use Compliance: Procurement AI Agent's use and transfer to any other app of information received from Google APIs will adhere to the Google Workspace API User Data and Developer Policy, including the Limited Use requirements.

We do not use, transfer, share, or sell Google Workspace user data (including raw, aggregated, or derived data) to create, train, refine, or improve any generalized or foundational machine learning (ML) or artificial intelligence (AI) models.

3. Data Protection Mechanisms

We enforce strict security measures to protect your data against unauthorized access, alteration, disclosure, or destruction:

Data Encryption in Transit: All communications between our application, Google APIs, and authorized third-party services are encrypted using industry-standard Transport Layer Security (TLS 1.2 or higher).
Data Encryption at Rest: Any temporary operational data or authentication tokens stored on servers are encrypted at rest using AES-256 encryption.
Access Controls: System access is strictly controlled via minimal role-based access configurations and secure token-based OAuth authentication.

4. Data Retention and Deletion

We retain Google Workspace user data only as long as necessary to provide core application features or until a user explicitly requests deletion:

Operational Data: Cached email summaries and workflow configurations are retained only for the duration of an active user session or workspace task.
Account Deletion & Removal: When a user deletes a Topic within the application, unlinks their email account, or terminates their service, all associated cached data, messages, labels, and filter configurations are permanently purged from our infrastructure within 30 days.
User Deletion Requests: You may request immediate deletion of all account data at any time by emailing us at urubleuski@procurement-ai-agent.com.

5. AI Interactions & Third-Party Service Providers

Procurement AI Agent processes email summaries via enterprise-grade AI API providers (such as Anthropic Claude API). Data sent to these services is processed under commercial API agreements that strictly prohibit the use of API payloads for AI model training or secondary storage.
